Position Responsibilities

  • Build, manage and grow a new project management team with the long-term vision to become integrated in all projects. Beginning focus of the new team will be on digital/technology projects.
  • Provide training, career development (including performance reviews), mentorship and day-to-day oversight to ensure adherence to process and MedThink's standards of quality
  • Receive all initial production job requests; put together schedules and estimates; assigns Project Managers to jobs
  • Deliver multiple, often concurrent projects: error free, on time or early, on or under budget, all while meeting or exceeding creative objectives and expectations
  • Work with other functional agency leads to provide smooth and flawless execution of all projects.
  • Recommend solutions/software for project and resource management and integrate into agency day-to-day
  • Participate in new business opportunities as required, developing proposals and scopes of work
  • Create/Review the project scope (SOW) for accuracy, functionality and ensure that it agrees with the clients business goals
  • Work closely with internal teams to define project requirements, develop timeline and budget, identify technical considerations, and designate areas of responsibility
  • Actively manage all day-to-day aspects of production by developing detailed project schedules, managing project scope, documenting change requests, facilitating project meetings, reviewing all project deliverables for quality and accuracy, maintaining project documentation and identifying project risk
  • Manage and engage in regular check-ins, follow-up with project managers and provide guidance and information related to the project in a timely fashion; conduct regular meetings to review project risks, issues and develop mitigation and contingency plans where required
  • Communicate actively with Creative, Technical, Account Services, Business Development and other internal departments and clients on all aspects of the production including milestones, deliverables and due dates to keep the production process flowing smoothly
  • Ensure flawless production, scheduling, resourcing, project management and technical implementation. This includes managing internal teams and external partners
  • Facilitate technical requirements gathering, technical analysis and identification of key success metrics
  • Ensure that correct production processes are employed and followed accordingly by the project team and department
  • Develop and maintain active knowledge of and relationships with freelancers and interns
  • Responsible for sending weekly freelance and intern schedule request for network access to HR for processing
  • Select and negotiate all outside vendors’ contracts based on both scope/budget/timeline of project and on which vendor is best suited to provide its services; estimate time allocation of internal digital team for inclusion in client estimate
  • Review contract and vendor documentation and craft proposal and support-level agreements
  • Define and document best practices and contribute to company knowledge-sharing effort
  • Oversee production P&L and report information to department head
  • Keep abreast of industry trends by reviewing internet content and industry magazines and websites
  • Take ownership of the project from start to finish
  • Assist the department head with any additional projects as needed
  • Willing to travel as required (less than 10%)
  • Attends Company sponsored in-services and/or continuing education
  • Participates in professional development activities and maintains professional affiliations as necessary

Talent & Knack

  • Bachelor’s degree in related field required
  • 8+ years project management experience, of which a subset has been spent managing direct reports
  • Previous experience at an advertising agency. Digital/Interactive agency experience preferred
  • Pharmaceutical/Healthcare experience a plus
  • Working with internal teams on multiple projects at once
  • Meticulous attention to detail
  • Proven success delivering projects on time and within budget
  • Comfortable with ambiguity
  • Self-motivated, disciplined, fast learner, organized
  • Strong understanding of web technology and infrastructure
  • Expertise in developing and managing budgets and timelines
  • Strong problem solving and conflict management skills
  • Professional presentation and polished client management skills
  • Excellent verbal and written communications skills
  • Proficient in MS Project, Word, Excel, PowerPoint, Visio
