Position Summary:

The Senior Project Manager is responsible for the overall internal management of multiple projects. The Senior Project Manager, working within a cross-functional team, leads the development and maintenance of project schedules and deadlines. This individual uses available project management tracking programs, and has a proven track record with technology-based tools and projects. The Senior Project Manager ensures delivery of a quality solution on time and within budget, and is the first to raise their hand when scope creep occurs. Additionally, the Senior Project Manager ensures efficient allocation of agency resources. 

  • Project Management Systems ­– Opens jobs within the project and time management system (ie, Webvantage) and demonstrates a strong working knowledge of such systems.
  • Resourcing – Possess ongoing knowledge of workload for writer, editorial, technology and creative departments to anticipate scheduling issues.
  • Project Administration – Liaison between all departments. Manages project workflow from planning through implementation. Serves as central hub for all project related work and is intimately involved with day-to-day project details. Identifies and secures project resources.
  • Reporting – Maintains and evaluates project progress by maintaining timelines and other tracking/analysis tools. Produces and distributes status, resourcing, budget and tracking reports and functional area plans to appropriate team members and senior management.
  • Communication – Maintains effective communications with account and creative teams through oral and written correspondence, weekly project status reports, and monthly progress status reports, and presentations. Ensures adequate documentation of each communication. Ownership and facilitation of internal project status meetings.
  • Client Delivery – Partners with client services to prepare and execute the kickoff meeting. Accountable for scheduling (client deliverable deadlines) and budget oversight throughout the lifecycle of the project.
  • Business Development – Partners with senior leadership team in the creation of the SOW ensuring scope is clearly defined and costs match what is outlined in the project plan and SOW compliance throughout the project. Works on new business efforts to ensure proper estimating and assumptions are made throughout the proposal/SOW process. Ensures multiple approaches are presented if needed through brainstorming.
  • Financial Oversight – Analysis financial status on jobs a minimum of two times per week. Accountable for staying within agreed upon budget and alerts account manager of any changes to scope/assumptions/issues that arise on the project and works to create change orders as needed. Supports account team at billing meetings. Oversees vendor/freelancer invoices.
  • Production – Oversees all production aspects such as vendor selection, estimating, purchasing, foil stamping/embossing/debossing, die cutting, mailing lists, direct mail, chotski items, retouching, interactive production, radio/television studio production, proof and press approvals.
  • Direct Report Management – Provides training, career development (including performance reviews), mentorship and day-to-day oversight to ensure direct report’s adherence to process and MedThink's standards of quality.

Talent & Knack:


  • Bachelor’s degree, preferably in the health sciences, marketing or communications field


  • Minimum of 6 years of relevant agency experience
  • Proven experience in resource and timeline modeling to forecast project requirements
  • Demonstrated traffic coordination and project management experience, within the field of medical communications
  • Candidate has a marketing, digital, and/or healthcare communications agency background

The candidate should possess the following knowledge, skills and abilities:

  • Proficient in Excel, Word and PowerPoint a must; project management software (eg, Webvantage) knowledge required. Individual demonstrates knowledge in and with alternative software packages and regularly brings these ideas to the table.
  • Strong problem solving and decision making skills.
  • Highly organized, detail oriented and able to handle multiple priorities, including covering for other project management team members when unavailable.
  • Excellent verbal (including facilitation and presentation) and written communications skills, with proven ability (when requested) to set up and run project status meetings.
  • A recognized leader within project management and across the agency for his/her ability to influence, motivate, and lead stake holders from various departments to meet agreement.
  • Understands technology and has a proven track record with digital projects within an agency setting.
  • Experience managing the entire project lifecycle, specifically within the field of medical communications, and regularly extends the knowledge of similar project learnings from one project (or one team) to the next.
  • Strong knowledge of scoping and executing digital projects and processes for development, including but not limited to websites, HTML e-mails, applications, and interactive media.
  • Individual regularly communicates with the development team and is able to communicate the technical language back to the account manager, other team members.
  • Willing to work extra hours to meet impending deadlines.
